Privacy is part of CRM design, not a checkbox added after launch. This practical guide helps marketing teams structure questions for their privacy lead or adviser.
Define purpose and necessity
Write what data is collected, why it is needed, who uses it and how long it should remain. Collecting more because a CRM allows it is not a strategy.
Confirm the legal basis
Work with the responsible privacy professional to identify the appropriate legal basis for each processing activity, including marketing, enrichment and measurement.
Control access and vendors
Define roles, permissions, processors, integrations, exports and deletion workflows. A vendor list is not a substitute for operational ownership.
Make choices clear
Where consent is needed, capture it in a way that is specific, informed and withdrawable. Do not hide important choices in a long form.
Keep it current
Review retention, access, vendors and new automation when the process changes. Use authoritative Dutch and EU guidance rather than generic templates.
