Clean handoffs start with a small, shared data model. Add complexity only when it improves a decision or protects a customer experience.
Define the core objects
Use accounts for organizations, contacts for people, opportunities for commercial work and activities for the interactions that explain movement.
Separate lifecycle from deal stage
Lifecycle describes the relationship with marketing and sales. Deal stage describes a specific commercial opportunity. Mixing them creates confusing reports.
Make responsibility explicit
Every record needs an owner, a next action and a date. Shared ownership without a clear next step is a reliable source of delay.
Create a small quality contract
Define required fields, accepted values, source precedence, duplicate rules and the path for corrections.
Review the model
Inspect completeness, age, duplicates and stage movement on a regular cadence. Retire fields that nobody uses.
