Moving from spreadsheets to a CRM is not a file-import project. It is a chance to define ownership, lifecycle stages and the minimum data needed for a useful commercial handoff.

Practical ruleChoose the process and decision you want to improve first. Choose CRM functionality second.

Inventory before import

List files, owners, columns, duplicates, stale records and sensitive fields. Mark what is evidence, what is an assumption and what should be discarded.

Build the minimum model

Start with accounts, contacts, opportunities, activities, source, stage and owner. Every additional field should improve a decision or protect the customer experience.

Map and validate

Create a field map, standardise values, test a small sample and ask users to verify records. Never use a successful import as proof that the data is useful.

Plan the cutover

Freeze changes, communicate the date, preserve a read-only archive where appropriate and define who handles exceptions during the first weeks.

Keep trust after launch

Monitor completeness, duplicates, stale stages and next actions. Assign a data owner and retire fields that nobody uses.
